3 Things to consider when choosing your structure size.

It is important to note the factors that influence the size of your structure. Ask yourself the questions below to choose the ideal size for your event.

1. How many guests do you wish to accommodate?
2. What style will your event seating be?
   • All guests seated at tables at any one time.
   • Your guests will be partly seated and partly standing.
   • Your entire guest will be standing throughout the event .
3. Do you require the following dedicated areas?
   • Service and catering tent.
   • Entertainment space dedicated for the DJ, Stage and Dance floor.
   • Entrance reception area.
   • Bar and Bar seating space.

Other Size Considerations

When working out the size of a marquee there are several factors that need to be taken into consideration. Other than the above discussed the next main one being what table size you need and are looking to hire.

Larger tables take up more area than smaller tables, for example if you were to hire a smaller 5ft round diameter tables you can seat anything from 6 to 8 guests around the table. With a 6ft table you can position 10-12 guests around the table. But which is most suited to you?

This all depends on what you are placing on each table, if there is a lot of items on to the tables i.e. table centrepieces, crockery, cutlery, glassware, glassed beverages etc. then it is ideal to hire a larger table. Ultimately if larger tables are required, then this will have an impact on your structures size as you may need to opt for a larger sized structure.

1. The early bird catches the worm.

Although we hire throughout the year the most popular season is the summer. We advise that you make your enquiries as early as possible to get suppliers availability.

2. Old and Dated or New and Clean?

Always look into the quality of the marquee and equipment you are hiring as they can differ greatly from:

• Brand new to worn-down walls and lining.
• Heavy weight to light weight structures.
• British and European standard to unknown marquee standards.

3. Size and Numbers do matter.

Always consider the space available at your site:

• A large marquee can make your guests feel isolated.
• Too small will have your guests feeling crowded.

• No ground obstruction or restricted space.

6. Tips on marquee Quote Comparison

When comparing quotes many customers make the mistake of just comparing the overall hire price if you get a “cheap quote” are you getting value for money?

Don’t just compare the price, look at other aspects and ask your supplier these questions:

• Is the structure and equipment new or decades old?
• Is the carpet hire being supplied new or re-used?

As part of our business policy Pearl Marquees will only supply a new carpet to our customers. We strongly recommend against having re-used carpets as they accumulate smells and stains.

By making simple changes to the quote you can obtain a different look which impacts on the hire price for example upgrade a plastic bistro chair with banqueting chairs to get a elegant feel or if you’re on a tight budget take out the lining and only hire the structure which will dramatically reduce your hire cost.

7. Don’t forget to book it

It is easily assumed that a quotation is an offer of availability but this is not the case. Stock levels change on a daily and hourly basis and to avoid disappointment we strongly recommend securing your items, the process is simple:

1. Request a FREE marquee quote to get your site assessment visit.
2. Call us to confirm availability and make a provisional reservation.
3. Receive your booking form.
4. Within 7 days of provisionally reserving your structure, return a copy of the booking form with a deposit of 25%. Payments can be made by either cheque or bank transfer.
5. You will receive an order confirmation shortly afterwards and your booking is secured.

8. Forget me not

Don’t forget to consider other aspects of your occasion such as:

• Party planners and Event organisers.
• Outdoor caterers and catering equipment such as cutlery, crockery and glassware.
• Entertainment such as Mobile DJ’s, Discos, Bands and Live music and Fireworks.

9. Worrying never did anyone any good

Have peace of mind by ensuring that your supplier has full commercial insurance cover for Public Liability. This provides indemnity in respect of the legal liability for damage or injury caused to third parties or their property by the company.
Venue suppliers and Local Authorities will ask that you have a minimum of at least £2m indemnity insurance.

Better safe than sorry! – Damage waivers cover your indemnity against the cost of any repairs if equipment is accidentally damaged during the hire period. Always check your terms and conditions of hire as theft, loss, deliberate abuse, neglect are often excluded from the indemnity insurance.

Don’t leave it until the last minute! Peak season bookings can reduce our stock availability and you may not be able to source all the items for your event.

What size will I need?

This depends on the following:

• The number of guests attending your event and whether it will be a buffet or seated event. To help find the correct size for your event take a look at our

• When measuring the size of your grounds, always allow at least one metre on each side for construction.

Do you supply furniture for the structure?

Yes, we can supply a range of additional items for your event ranging from:

How long is the hire period, when will you set up and take down the structure?

To help make your event stress free as possible we will arrange to:

• Set up a day or more prior to your event.
• Take down the structure normally the day after your event.

Will the location be suitable for the structure?

Remember to inform us of:

• Electrical cabling on site or close to where the structure will be erected.

• Cooling systems are available and preferred to fans in extreme heat.

Can you put the structure on an uneven ground?

• Carpet is best for sloping grass, what might feel fine as a covered lawn may be quite disconcerting on a sloped hard floor.

• Hard flooring systems can be levelled on sites with gentle slopes. However for larger inclines it is not always possible. Level ground is always an advantage and the more formal the event, the more important you have a flat surface.

Do Pearl have insurance cover?

• Yes we do! £2 million pounds worth of Public Liability Insurance.
• We also offer our customers a damage waiver which indemnifies the hirer for accidental damage.

Will your flooring damage our garden?

• Temporarily yes. Grass that has been covered for several days will not look its best. But will recover in due course.
• Holes of an inch diameter will be visible in grass where the structure was pinned to the ground but these will close over time.
• We are always mindful that we do not damage plants and flowerbeds.

Help us by cutting your grass 1 day prior to your event, long to medium length grass can make your ground feel uneven and the carpet will not sit flat.

Because there are many different types of structures which vary in:

• Age.
• Condition and cleanliness.

Also you may just be quoted for:

• Daily rate of hire.
• Low quality or old fashioned marquee equipment (ask to see photo’s).
